Template Mail for Teams

The problem that started all of this was a team problem

I built Template Mail because I kept sending the same training email — the outline, the references, the logistics — to every new group I trained. I lost count of how many times I sent some version of that exact email.

If you're part of any group that repeats the same communication — a team, a class, a committee, a department — this is probably familiar. One person ends up rewriting the same message, over and over, for every new person or every new round.

What teams actually do with it
  • Share a template once, everyone uses it. One person builds it, exports it, and teammates import it — instead of everyone writing their own version of the same message.
  • Keep wording consistent without a shared inbox or a shared account — everyone still sends from their own Apple Mail.
  • Add placeholders so shared templates stay personal — {name}, {date}, {location} — instead of generic form letters.
  • Set follow-up reminders that show up in Apple Reminders, so nothing falls through the cracks after the first email goes out.
Where this shows up

Training and onboarding sessions. Sales follow-ups. Support responses. Real estate showings and listings. HR communications. Classroom and department updates. Client onboarding for agencies and freelancers.

The situations are different — the underlying problem is the same one I had: the same message, sent again and again, retyped every time.

Still private, even when shared

Sharing a template doesn't mean sharing an account, a login, or a database. Templates are shared directly between people — as files, the way you'd share anything else on your device — not synced through a company server.
